The Chair of the Convention Committee is responsible to:

• Obtain a host for each of the next three annual conventions
• Verify that each host has a current copy of BNAPS convention guidelines and has created a local committee to manage the annual convention as set out in those guidelines
• Determine, in collaboration with each host, the location and dates for each annual convention, avoiding if possible conflicts with statutory and religious holidays and other major philatelic events
• Ensure that the editor of BNA Topics is notified of upcoming convention information (advertisements and inserts) for inclusion in the publication in a timely manner
• Assist each host to attract appropriate exhibitors and assist with guidelines for exhibitors, but doesn’t chase for exhibitors
• Make certain that the Judging Committee Chairman (Policy and Procedures Manual, §440.17), in consultation with the host ensures that:
  (i) an experienced and competent Chief Judge is appointed
  (ii) the Chief Judge selects two additional judges
  (iii) one apprentice judge is selected
• Verify that all medals and awards that may be given at the convention are, or will be, in the hands of the host before the "awards presentation" at the convention. This should be done in consultation with the Awards Coordinator (Policy and Procedures Manual, §440.03)
• Receive a copy of the budget to help ensure that each annual convention is on track to be financially self-supporting
• Report annually to the Board of Directors and to the Annual General Meeting of the Society, outlining the progress of planning for future conventions, and on any unresolved matters pertaining to prior conventions, and provide a written copy of his report to the Secretary a month before the Annual General Meeting
